Scope and acceptance of the terms
Access to the VCode website and, for authorized users, use of the VCode platform entail acceptance of these conditions, without prejudice to any specific commercial conditions agreed with the customer.
These terms govern both the public pages of the website and, where applicable, the functions reserved for restaurants, wine shops, hospitality facilities, administrators and other professional operators using VCode as a multi-tenant digital service.
If an offer, order, contract or signed commercial agreement provides for specific conditions, those conditions prevail over the general provisions of this page only with respect to matters expressly governed differently.
VCode and the service
VCode is a Vitinerario® product, developed by Graldev S.a.s. di Chiera Luigi, VAT No. IT01986670766.
The platform is designed for the restaurant and hospitality sector and, depending on the active plan and configuration, may include digital menus and QR codes, wine lists, dish and cellar management, repositories, marketing functions, statistics and analytics, food-and-wine pairing tools, games and additional content, and AI-assisted features.
VCode is organized by tenant: each customer's data, configurations, users and content are managed within the relevant tenant and the permissions associated with the accounts.
Accounts, roles and access
Access to restricted areas is through authorized accounts. The user is responsible for safeguarding their credentials and for activities carried out through their account, except for unauthorized use promptly reported.
For tenant end users, the only available roles are Admin and Staff.
Has full administration of its tenant and the features enabled by the plan. It can manage configurations, content, menus, wine lists and tenant users and can use the Helpdesk to submit reports and support requests.
Has limited operational access: it can view tenant information and modify only the active menu and the active wine list, without access to the tenant's general administration functions.
VCode allows simultaneous access by separate accounts even when the devices use the same network or public IP address. User identification and authorization take place at account and session level, not solely on the basis of the originating network.
Personal credentials may not be shared with unauthorized parties, role controls may not be bypassed, and users may not attempt to access tenants, functions or data for which they are not authorized.

VCode is available in the Bistrot & Trattoria and Ristorante & Wine Bar plans, both available with monthly or annual billing.

Both plans share VCode’s essential features. The Ristorante & Wine Bar plan also includes an unlimited wine list and advanced analytics and reports, subject to the terms of the subscribed offer.
The monthly plan provides for the monthly fee indicated for the selected plan. The annual plan lasts 12 months and provides for the annual fee indicated above; unless otherwise agreed in writing, the annual payment is due in advance for the entire period.
All amounts are stated excluding VAT. Any promotions, customizations, additional services or specific financial conditions agreed in writing with the customer may change the applicable fee without altering the features declared in the subscribed offer.
Term, renewal, cancellation, deletion and withdrawal
The subscription term, start date, renewal date and payment methods are those indicated in the offer or contract associated with the tenant. Subscription status may determine the availability of the features included in the relevant plan.
Subscription cancellation, tenant deletion and withdrawal may be requested directly from the Tenant Profile page and are available exclusively to users with the Admin role.
Cancellation, deletion or withdrawal must be requested at least 3 days before the scheduled renewal date of the subscription. Requests made after this deadline may not prevent a renewal that is already being processed.
Cancellation stops subscription renewal. The service remains available until the natural end of the period already subscribed. After expiry, the tenant's data and content are retained for a further 30 days, allowing the restaurant operator to reactivate the service in case of reconsideration. If that period expires without reactivation, the tenant's data are deleted.
Deletion results in termination of the tenant and deletion of the related data and content. The 30-day retention period provided for cancellation only does not apply, and deleted data cannot be restored.
Withdrawal results in termination of the subscription relationship and deletion of the tenant's data and content. In this case too, the 30-day retention period provided for cancellation does not apply, and deleted data cannot subsequently be restored.
To support deadline management, VCode may send service communications to tenant Admins near the subscription end date. Automated checks are performed daily starting from 07:00 and may generate reminders approximately 30, 14, 7, 3, 1 and 0 days before expiry.
These reminders are informational and do not change the expiry date, contractual conditions or payment obligations agreed with the customer.
Deletion concerns the tenant's application data and content present on the platform. Any retention strictly necessary to comply with legal, accounting or tax obligations remains unaffected, as do any technical timeframes required to remove data from backup systems.
Service features and configuration
Both plans include a digital menu, digital wine list, food and wine pairings, mini-games, and a printable VCode file. Ristorante & Wine Bar additionally includes an unlimited wine list and advanced analytics and reports.
The features available to each user also depend on the role assigned within the tenant: the Admin has access to the administration functions provided by the service, while Staff users have access only to the operations permitted on the active menu and active wine list.
Any new features, optional modules, additional services or future differences between plans will be indicated in the commercial offer, pricing page or conditions applicable at the time of purchase or renewal. The interface may show or hide functions based on the user's role and the configuration actually active for the tenant.
Reports, operational notifications and tenant inactivity
VCode may generate and send automated communications strictly related to the provision, management and better use of the service. Such communications are not advertising messages when they concern subscription status, platform use, security, support or tenant operation.
A weekly report is generated on Monday after 07:00 (Europe/Rome time zone, unless otherwise configured), containing usage data, Usage Rate, scans, trends and KPIs. The tenant summary is intended for authorized Admin users.
Reports intended for Admins may highlight the most viewed dishes or wines and suggest using “Featured” content in Food Marketing functions when the data show recurring concentration of preferences or low usage.
The check is performed daily after 07:00 and may notify Admins of a tenant with no user logins during the previous 3 days. Any technical access carried out for maintenance, support or platform management is not considered ordinary tenant activity. If no new logins occur, the alert may be repeated at an indicative maximum frequency of once every 7 days.
Admins may use the Helpdesk to submit reports and support requests. The platform may also display dashboard notifications concerning open requests, operational events and other items requiring attention.
The times indicated describe the current operational configuration and may be subject to technical delays due to maintenance, restarts, processing queues or temporary unavailability.
Content, images and data entered by the tenant
Authorized users may enter or modify content relating to their business, including menus, dishes, ingredients, allergens, prices, wines, availability, texts, translations, images and promotional or “Featured” content.
The customer is responsible for the accuracy, lawfulness and updating of published content and declares that it has the necessary rights to use images, trademarks, texts and other materials uploaded to the platform.
The dashboard's Marketing functions may use and display images associated with tenant content in the areas provided by the application. The unavailability or removal of a source file may affect its display.
Information relating to allergens, ingredients, dietary characteristics, availability and prices must be verified and kept up to date by the venue operator before publication to the end customer.
Suggestions and features based on artificial intelligence
Some VCode features may use automated systems and artificial intelligence technologies to support search, data enrichment, wine selection, food-and-wine pairings and other functions provided by the active configuration.
Generated results are informational and supportive in nature and may contain inaccuracies, depend on the quality of available data or fail to reflect personal tastes, actual availability, vintages, recipes or product variations.
Final decisions remain with the user and, where appropriate, venue staff. Automatically generated content intended for publication should be checked by an authorized user before operational use.
Usage and security rules
The user undertakes to use VCode lawfully, correctly and in compliance with applicable law, assigned permissions and the professional purposes of the service.
Users may not compromise the operation, security or integrity of the platform, attempt unauthorized access, circumvent plan limits or authorization controls, interfere with other tenants, or use the service for fraudulent purposes or in ways that infringe third-party rights.
The customer must promptly revoke or update staff access when a user is no longer authorized to operate on the tenant.
Intellectual property
The software, the VCode trademark, graphic elements, texts, website structure, application components and other original content are protected by applicable intellectual and industrial property laws.
Unauthorized reproduction, distribution, modification, extraction, reverse engineering or use of the software and proprietary content is prohibited, except where expressly permitted by law or written agreements.
Content uploaded by the customer remains the property of its respective owner; the customer authorizes VCode to technically process it to the extent necessary to provide the requested features.
Availability, maintenance and updates
VCode undertakes to keep the service accessible and up to date, but does not guarantee uninterrupted or error-free operation at all times.
Temporary interruptions may occur due to updates, maintenance, deployments, restarts, security measures, unavailability of infrastructure or third-party services, and causes beyond direct control.
Fixes and new releases may change the behavior of the interface, reports, notifications, Marketing modules, Helpdesk and other features, without reducing the contractual rights expressly granted to the customer.
Links and external services
The website or platform may contain links or integrations with websites, services, infrastructure, providers or tools managed by third parties.
VCode does not control the content or conditions of external services, and their use may be subject to the terms and notices of the respective providers.
Changes to the terms, plans and Cookie Policy
These conditions may be updated to reflect regulatory, technical, organizational or security changes, or changes relating to service features and plans.
Changes to the financial or contractual conditions applicable to an ongoing subscription remain subject to the provisions of the offer or contract signed with the customer.
The version published on this page is the version applicable at the time of consultation, except for specific conditions already agreed in writing.
